Personal Data Processing Policy

1. PURPOSE

The purpose of this Personal Data Processing Policy is to inform users, clients, suppliers and other data subjects about how YENUBA collects, stores, uses, updates, protects and processes the personal information provided through the mobile application, the web portal and other authorized channels.

This policy is adopted in compliance with the Political Constitution of Colombia, Law 1581 of 2012, Decree 1074 of 2015 and any other rules that amend or replace them.

3. SCOPE

This policy applies to all personal data collected by YENUBA through:

  • Mobile application.
  • Web portal.
  • Registration forms.
  • Contact forms.
  • Emails.
  • Customer service channels.
  • Official social media.
  • Any other means authorized by YENUBA.

4. DEFINITIONS

For the purposes of this policy, the following shall apply:

Personal data
Information that makes a person identified or identifiable.
Data subject
Natural person whose personal data is subject to processing.
Processing
Any operation carried out on personal data, such as collection, storage, use, circulation or deletion.
Data controller
YENUBA.

5. DATA WE COLLECT

YENUBA may collect information such as:

Identification data

  • First name.
  • Last name.
  • Identification number.
  • Email address.
  • Phone number.

Business data

  • Trade name.
  • Tax ID (NIT).
  • Address.
  • City.
  • Economic activity or type of product/service

Access information

  • Verifying the user's identity by means of authentication codes sent to the registered mobile phone number or email address
  • Phone number registered for authentication.
  • Registered email address.
  • IP address.
  • Device type.
  • Operating system.
  • Browser.
  • Date and time of access.

Information recorded by the user

  • Clients.
  • Products.
  • Inventories.
  • Sales.
  • Expenses.
  • Invoices and supporting documents uploaded by the user.
  • Reports.
  • Financial information recorded by the user.

6. PURPOSES OF PROCESSING

Personal data may be used to:

  • Create and manage the user's account.
  • Provide the platform's services.
  • Provide technical support.
  • Manage payments and subscriptions.
  • Improve the user experience.
  • Handle requests and enquiries.
  • Comply with legal obligations.
  • Prevent fraud.
  • Ensure the security of the platform.
  • Produce internal statistics.
  • Send communications relating to the operation of YENUBA.

7. AUTHORIZATION

By registering with YENUBA, the data subject freely, previously, expressly and on an informed basis authorizes the processing of their personal data in accordance with this policy.

The authorization may be revoked at any time, except where a legal or contractual duty prevents its immediate deletion.

8. RIGHTS OF THE DATA SUBJECT

The data subject may:

  • Know the data stored.
  • Update their information.
  • Rectify incorrect data.
  • Request proof of the authorization granted.
  • Request the deletion of their data where appropriate.
  • Revoke the authorization.
  • Submit enquiries or complaints.
  • Turn to the Superintendence of Industry and Commerce if they consider their rights have been infringed.

9. INFORMATION SECURITY

YENUBA will implement reasonable technical, administrative and organizational measures to protect information against loss, unauthorized access, alteration, destruction or disclosure.

However, no computer system can guarantee absolute security.

10. DATA RETENTION

Personal data will be retained while:

  • A contractual relationship with the user exists.
  • It is necessary to provide the services.
  • A legal retention obligation exists.
  • It is required to attend judicial or administrative proceedings.

Once the purpose of the processing no longer exists, the data may be deleted or anonymized in accordance with the regulations in force.

11. DATA TRANSFER AND TRANSMISSION

YENUBA may share personal data with technology providers, cloud storage services, payment processors or other processors necessary to provide the service.

Where applicable, such third parties must comply with the applicable legal obligations regarding the protection of personal data.

12. MINORS

The platform is intended for adults.

YENUBA does not deliberately collect personal data from minors without the authorization of their legal representatives.

13. ENQUIRIES AND COMPLAINTS

The data subject may exercise their rights by sending a request to the following email address:

  • Description of the request.
  • Contact details.

YENUBA will respond within the time limits established by Colombian law.

14. AMENDMENTS TO THIS POLICY

YENUBA may amend this policy when necessary to comply with legal, technological or operational changes.

Amendments will be published in the mobile application, the web portal or through official communication channels.

15. TERM

This Personal Data Processing Policy takes effect as of July 2026 and shall remain in force until it is amended or replaced by a new version.
